Campbell River Killer Whales Commitment and Financial Policy Statement

In order for the Club to continue to operate successfully and fulfill our mission, we rely on fees, fundraising and volunteers. As a not-for-profit society, we can only operate with the full financial participation of swim families, as set out in the following Commitment Policy.  

The procedure for implementing and enforcing the Commitment Policy has been arrived at after careful consideration of all alternatives. The decisions described in this document are considered fair to all and absolutely essential in order for the Club to operate successfully. The equitable sharing of this workload is the goal of the Commitment Policy, as well as maintaining swim fees at a reasonable amount for all families.

1. Registration: All swimmers must be registered with Swim BC. Swim BC is the Provincial organizing body for swimming in BC. For more info about Swim BC and swimming in general, visit www.swim.bc.ca. SwimBC fees are set by SwimBC and collected by the Club. Any decision to pro-rate SwimBC fees is therefore set out in the SwimBC registration fee schedule and not controlled by the Club.

2. Swimmers will not be registered until any overdue accounts have been paid in full.

3. Fundraising: Each family must take part in or provide monetary fundraising support as designated in the registration package for the season. Please refer to the Fundraising Policy for information in regards to fundraising amounts and commitments.

4. Volunteer Point System: Each family must fulfill their Volunteer Points or provide monetary compensation ($30.00 per point) as designated in the registration package for the season. Please refer to the Volunteer Points Policy for information in regards to VPS amounts and commitments.

5. Early Withdrawal / Late Registration: In the event that a swimmer leaves the program prior to the end of the season, they will only be responsible for fees already charged for the month in which they cancel their registration. A swimmer who leaves the program from the 1st day of that month, will not be refunded swim fees for the remainder of that month but will not be responsible for swim fees for subsequent months after they leave the club. Swimmers that have paid their swim fees for the whole season in advance, will not be refunded the swim fees they have paid for the remainder of the month in which they leave the club, but will be refunded their swim fees for the remainder of the season. It is the responsibility of the swimmer to notify the registrar (registrar@crkw.ca) as soon as they decide to leave the club, in order to receive a refund or avoid incurring further fees. Swimmers who join the program after the start of the season will be charged swim fees beginning the first day of the month in which they register.

Please refer to the Fundraising Policy and Volunteer Points Policy for direction in regards to early withdrawal or late registration as it relates to fundraising and VPS.

Any outstanding fees, including fundraising and VPS amounts, are due within 30 days following the swimmer's last day.

6. Fees: All monthly swim fees will be paid by credit card as arranged through the online registration platform, with a surcharge as applied by the platform. If the payer wishes to pay by other means (post-dated cheque, e-transfer), it is their responsibility to arrange this with the Treasurer (treasurer@crkw.ca). It is the responsibility of the payer to incur any N.S.F. or bank charges associated with cancelled or returned cheques. NSF cheques will be charged $20.00. If paying by cheque, post-dated cheques covering the entire season must be submitted. All fees must be remitted to the club by June 15.

7. Accounts in arrears will be dealt with as follows:

* 15 days in arrears from statement date – notification from the treasurer

* 20 days in arrears from statement date – swimmer will be denied workouts and swim meets

* 60 days in arrears from statement date – account shall be sent to a collection agency

Delinquent accounts will be assessed, without exception, in accordance with the above schedule.
